Automation for hypnotherapists

Automation that handles the admin between sessions

Enquiry replies, booking confirmations, reminders and welcome emails can run on their own, reliably and in your voice. I set up simple workflows with the tools you already use, so you spend less time on admin and fewer people slip through the cracks.

Use cases

What I can automate for your practice

You don’t need all of these. Most practices start with two or three and add more later. Each workflow is built around tools you already use where possible.

Instant enquiry replies

What happens: When someone fills in your contact form, they get a friendly email straight away explaining what happens next, and you get a notification by email or on your phone.

Why it helps: Nobody is left wondering if their message arrived, and you can reply properly when you’re out of session.

Website form · Gmail / Outlook · Make or Zapier

Booking confirmations and reminders

What happens: Clients get a confirmation when they book, with directions or the online session link, and reminders before the appointment.

Why it helps: Fewer missed appointments and fewer “what time was it again?” messages.

Calendly · Acuity · SimplyBook.me

New-client welcome emails

What happens: After a first booking, new clients receive a short sequence: what to expect, how to prepare and where to find you.

Why it helps: Clients arrive calmer and better prepared, and you stop writing the same email every week.

Booking tool · MailerLite / Mailchimp

Lead magnet delivery

What happens: Someone signs up for your free relaxation audio or guide and receives it automatically, with permission to send occasional emails.

Why it helps: A gentle way to stay in touch with people who aren’t ready to book yet.

Enquiry tracking

What happens: Every enquiry is added to a simple spreadsheet or CRM with its source and status, and you get a reminder to follow up.

Why it helps: You can see where clients come from, and nobody falls through the cracks.

Google Sheets · HubSpot free CRM · n8n

Feedback and review requests

What happens: After an agreed number of sessions, clients get a polite message asking for feedback, with a link to leave a Google review if they’d like to.

Why it helps: More genuine reviews, collected at the right moment and in a respectful way.

Booking tool · Email · Google Business Profile

Simple weekly reporting

What happens: A short weekly email with new enquiries, bookings and which pages brought them.

Why it helps: You see what’s working without logging into five different tools.

Privacy first

What I never automate

Your clients trust you with personal and sometimes sensitive information. Automations should handle logistics, not therapy.

  • Session notes, health details or anything clinical are never sent through automation tools or AI services
  • No automated diagnosis, treatment suggestions or clinical decisions
  • Only the minimum data each workflow needs, such as name, email and appointment time
  • Marketing emails only go to people who have clearly opted in
  • If you need intake forms with health questions, I’ll point you to platforms designed for that, rather than general-purpose tools
  • A plain-English note of what each workflow does and where its data goes

Costs, clearly

What automation costs

Setup

A one-off fee for planning, building and testing your workflows. Included in the Website + Automation package from $1,850, or quoted separately for an existing site.

Tool subscriptions

Some tools are free at small volumes; others have monthly plans. These are paid directly to the provider. I’ll tell you the expected cost before we start.

Monitoring

Workflows can break when a tool changes. Care plans include checking that your automations keep running.

FAQ

Questions about automation

Something else on your mind? Send me a message or book a free call.

Do I need to be technical?

No. I set everything up, test it with you and write a short guide in plain English. Day to day, the workflows simply run.

Which tools do you use?

Whatever fits your practice. Often that’s your existing booking tool and email, connected with Make, Zapier or n8n. I avoid adding tools you don’t need.

Can you automate my current booking platform?

Usually, yes. Calendly, Acuity and SimplyBook.me all connect well. Some practice-management systems are more limited. I’ll check before quoting.

What happens if a workflow breaks?

I build in notifications for failures where the tools allow it. On a care plan I monitor your workflows and fix issues for you.

Can I have automation without a new website?

Yes. Many workflows connect to an existing site and booking tool. Tell me what you use in the project planner or on a call.
